The lifeblood of every physical therapy clinic is the phone. That’s why improving how your calls are handled will have an immediate impact on bookings. This training does more than help your staff identify areas for improvement. In addition, it gives you tools and support.   • Training and implementation support by an experienced healthcare call center consultant (ongoing for subscribers, up to 30 days post training for Just Shop guests).

Session 1: Listen and Evaluate Recorded Call Examples

To begin the training we evaluate several typical physical therapy clinic incoming calls. Also, we discuss the patient experience as well as the financialĀ  impact on the clinic. Then participants discuss what they experience on their own calls. In conclusion, we introduce a method for taking control over incoming calls that leads to increased booking rates, fewer cancellations, and increased patient satisfaction.

Session 2: Create and Customize Incoming Call Script and Protocol

Using the principles and techniques introduced in Session 1, participants create their clinic’s Call Script and protocol. In addition, they work on an implementation plan.

Session 3: Implementation & Support

Now that you have your call scripts and protocols set, we wrap up with an implementation and support plan. This includes specific goals with results tracking. And to make sure the process continues, PTRM supports you for 30 days after session 3. Ongoing support is included with some subscriptions or can be purchased separately.

I attended the free strategy session, and it was like taking a drink from a fire hose. I never would have dreamed someone could build an entire marketing system like this just for physical therapists, and implement it for me in less than 60 days. We ran our first consumer mailer and I was amazed when we had our best month ever.

That was 5 years ago, and 1 clinic. Today we have new branding and 3 busy locations. Thank you PT Referral Machine!

This training made a big difference. I did it with 3 clinics. Hearing the calls with the entire team all together was extremely revealing (and embarrassing at first). We were losing callers. Some of them were calling from our ads and postcards. The training was very organized. During the series we learned a bunch of techniques to control the calls. We also tracked how many calls we get and the booking rates. booking went up 23%! I really liked the L0-L5 scoring filter because it shows a measure for each piece of the call so you know what to work on. It’s also great for training new staff. I stay on top of it all now with the call reports and recordings. Thank you PT machine!

I’ve been running a PT practice for more than 25 years, and I’ve tried at least three different marketing companies. They all had ideas, materials, and seminars, but none of them actually rolled up their sleeves and took care of everything from day-to-day. What I like most about the PT Referral Machine is not the fact that they have more innovative content and strategies than anybody else we’ve worked with, but that they actually make things happen.
